Time conversion

Payroll hundredths are decimal fractions of an hour: 30 minutes = 0.50 hours, not 0.30.

Decimal hours = hours + minutes ÷ 60 + seconds ÷ 3600.

Total seconds = decimal hours × 3600; whole hours, minutes and seconds are then separated.

Shift duration

Net shift = gross elapsed time − unpaid break. Paid breaks do not reduce worked time.

Results

A decimal hours calculator converts hours, minutes and seconds into a payroll-friendly decimal value, calculates shift duration and helps organise regular, overtime and double-time hours in a timesheet.

Decimal time is useful because payroll, invoicing and project systems usually calculate with numbers such as 7.50 or 8.25 rather than clock notation such as 7:30 or 8:15. The two formats describe the same duration, but their digits do not have the same meaning.

Important distinction. Thirty minutes equals 0.50 decimal hours, not 0.30. The digits after the decimal point represent a fraction of one hour, while clock minutes use a base of 60.

How to convert time to decimal hours

The exact formula is:

Decimal hours = hours + minutes ÷ 60 + seconds ÷ 3,600.

Example. For 7 hours, 30 minutes and 0 seconds: 7 + 30 ÷ 60 = 7.50 decimal hours.

Seconds matter when a system records precise clock punches. A duration of 1 hour, 2 minutes and 30 seconds becomes:

1 + 2 ÷ 60 + 30 ÷ 3,600 = 1.041666… hours.

The calculator keeps seconds internally and then displays the selected number of decimal places. This prevents a rounded display value from replacing the more precise duration too early in the calculation.

A six-minute increment equals one tenth of an hour, which explains why some payroll systems use hundredths based on six-minute steps. Fifteen minutes equals one quarter of an hour, while 45 minutes equals three quarters.

Convert decimal hours back to clock time

The reverse conversion begins with total seconds:

Total seconds = decimal hours × 3,600.

Whole hours are removed first. The remaining seconds are divided into minutes and seconds.

Example. 7.75 hours × 3,600 = 27,900 seconds. This separates into 7 hours and 2,700 seconds; 2,700 seconds equals 45 minutes. The result is 7:45:00.

A value such as 7.30 decimal hours does not mean 7 hours 30 minutes. Multiplying 0.30 by 60 gives 18 minutes, so 7.30 decimal hours equals 7:18.

Exact results and displayed precision

A payroll report may show two decimal places even when the original duration contains seconds. For example, 1:02:30 equals approximately 1.041667 hours. At two decimal places it appears as 1.04.

Rounding a displayed number is different from rounding work time. Display precision changes only how many digits are shown. A time-rounding rule changes the duration used for payroll or reporting. The calculator keeps those controls separate.

Calculating a same-day shift

For a shift that starts and ends on the same day:

Gross shift = end time − start time.

Net shift = gross shift − unpaid break.

Example. Start at 09:00, finish at 17:30 and take a 30-minute unpaid break. Gross duration is 8.50 hours. Net duration is 8.00 hours.

A paid break is shown for reference but does not reduce worked time in this calculator. Employers should use the setting that reflects their approved policy and applicable law.

Overnight shifts

When a shift crosses midnight, the end time belongs to the following day. The calculator adds 24 hours before subtracting the start time.

Example. A shift from 22:00 to 06:00 lasts 8 hours. After a 30-minute unpaid break, the net result is 7.50 decimal hours.

Use the overnight option deliberately. If an end time earlier than the start time is entered without that option, the calculator treats the row as invalid rather than guessing.

Paid and unpaid breaks

Only unpaid breaks reduce the net worked duration in the model. Paid breaks remain part of paid time. The calculator also prevents the combined break values from exceeding the gross shift.

Break entitlement and whether a break counts as working time depend on jurisdiction, contract, sector and the worker’s actual freedom during the break. The EU Working Time Directive sets minimum health and safety standards, including a rest break when a worker is on duty for more than six hours, while national rules provide the practical details.

Rounding work time

The calculator supports intervals of 1, 5, 6, 10, 15, 30 and 60 minutes. Each interval can use the nearest value, always round up or always round down.

Two different methods are available:

  • round final duration — calculate exact elapsed time and breaks first, then round the net result;
  • round clock punches — round the start and end times separately, then calculate the duration.

These methods can produce different totals. A shift from 08:07 to 17:53 rounded to the nearest 15 minutes becomes 08:00 to 18:00 when punches are rounded. With a 30-minute unpaid break, the result is 9.50 hours.

US federal regulation 29 CFR 785.48 recognises long-standing rounding to the nearest five minutes, tenth or quarter hour only when the practice does not result, over time, in workers being underpaid for time actually worked. A configurable calculator cannot decide whether a particular policy is lawful in a specific workplace.

Building a timesheet

Each row records a date, start time, end time, overnight status, paid and unpaid breaks and an optional note. Rows are sorted chronologically before overtime is allocated.

The daily table shows gross duration, break values, rounded duration and the regular, overtime and double-time split. The weekly table groups rows according to a Monday or Sunday week start.

Keep original time records. Rounded totals are useful for payroll review, but they should not replace source clock data, schedules, approved corrections or legally required records.

Daily overtime

The daily overtime mode divides each row according to configurable thresholds. With a daily overtime threshold of 8 hours and double-time threshold of 12 hours:

Example. A 14-hour day becomes 8 regular hours, 4 overtime hours and 2 double-time hours.

Daily overtime is not a universal rule. It may come from local law, a collective agreement, an employment contract or an employer policy. Set the thresholds and multipliers to the rule that actually applies.

Weekly overtime

The weekly mode keeps hours regular until the selected weekly threshold is reached. Later hours in the same defined workweek become overtime.

Under the US Fair Labor Standards Act, covered non-exempt employees generally receive at least one and one-half times the regular rate for hours over 40 in a fixed 168-hour workweek. The US Department of Labor also states that hours may not be averaged across two or more weeks for that calculation.

The United Kingdom does not provide a general statutory right to an overtime premium. GOV.UK explains that overtime rates normally depend on the employment contract, while average pay across total hours must not fall below the applicable minimum wage.

Daily and weekly overtime without double counting

The combined mode first allocates daily overtime and double time. The weekly threshold then applies only to hours that remain classified as regular.

Example. Five 9-hour days produce 45 total hours. With an 8-hour daily threshold, the daily calculation already creates 40 regular hours and 5 overtime hours. The weekly calculation does not add the same 5 overtime hours again.

This approach is useful for modelling policies that combine daily and weekly triggers, but the correct legal order can vary. Compare the result with the applicable payroll rule.

Estimating gross pay

The pay formula is:

Estimated pay = regular hours × hourly rate + overtime hours × hourly rate × overtime multiplier + double-time hours × hourly rate × double-time multiplier.

Example. At a rate of 20, with 40 regular hours, 5 overtime hours at 1.5× and 2 double-time hours at 2×, estimated gross pay is 800 + 150 + 80 = 1,030.

The estimate excludes tax, deductions, bonuses, shift differentials, commissions, holiday pay, allowances, minimum-wage adjustments and other payroll elements. In the United States, the regular rate used for overtime can include more than the basic hourly rate, depending on the compensation involved.

Regional and legal differences

The calculator’s country profile changes number formatting, decimal separators and currency display. It does not automatically impose national overtime law.

EU minimum standards include an average weekly limit of 48 hours including overtime, daily and weekly rest and additional night-work protection, although national legislation and permitted derogations affect implementation. UK guidance also uses an average 48-hour weekly limit for most workers, normally over a 17-week reference period, with specific opt-out rules.

Always check the employment contract, collective agreement, sector rules and current government guidance before using the result for payroll.

Common mistakes

  • writing 30 minutes as 0.30 hours;
  • rounding the decimal result before adding all rows;
  • forgetting an unpaid break;
  • subtracting a paid break;
  • treating an overnight shift as a negative duration;
  • rounding punches and final duration at the same time;
  • averaging weekly overtime across several weeks;
  • counting the same hours as both daily and weekly overtime;
  • assuming overtime multipliers are universal;
  • treating estimated gross pay as a final payslip amount.
