Cleaning solution and chemicals

For a 1:x dilution, concentrate = prepared solution ÷ (1 + x); water = prepared solution − concentrate.

Never mix incompatible chemicals. Follow the product label and safety data sheet for dilution, contact time, ventilation and personal protective equipment.

Other costs

Customer price before tax = max(minimum charge, direct cost × (1 + markup)).

Required staff is rounded up to a whole person. Actual scheduling must also allow for access, breaks, supervision and equipment limits.

Productivity varies with layout, task scope, method, equipment, training, occupancy and quality standard. Use time studies or verified site records for commercial quotations.

The calculator does not determine minimum wage, employment status, working-time law, tax treatment or legally required cleaning procedures.

Quote results are estimates before discounts, payment fees, insurance, parking, special waste, permits and unentered scope changes.

Staff, containers and other purchase units are rounded up where a whole unit is required.

All calculations run in the browser. Room dimensions and pricing are not sent to an external service.

Example values only — replace them with actual site data, measured productivity, labour costs and product instructions.

Results

A cleaning calculator estimates labour, staffing, duration, chemical use and customer price for one-time or recurring services. It works best when each room or operational zone is measured and priced separately.

A reliable estimate should not begin with one universal number of square metres per hour. Cleaning time changes with room type, soil level, traffic, floor finish, task detail, equipment, access, service frequency and the quality expected by the client.

Use measured productivity whenever possible. Preset production rates are starting assumptions. Replace them with verified times from the actual building, a trial clean or comparable completed contracts before issuing a commercial quotation.

What the cleaning calculator can estimate

  • rectangular, circular and manually entered floor areas;
  • excluded spaces that receive no cleaning;
  • separate labour for offices, washrooms, kitchens, corridors and other zones;
  • maintenance, standard, deep, move-out and post-construction cleaning;

Start with the net cleaning area

The basic geometry is straightforward:

Net cleaning area = gross area − excluded area.

Example. A 20 m by 10 m office has 200 m². If a 12 m² locked archive is outside the scope, the net cleaning area is 188 m².

Exclude only spaces that the team will not service. Furniture does not normally reduce the cleaning area because staff still work around desks, chairs and equipment. A permanently inaccessible plant enclosure may justify an exclusion.

Why rooms should be entered separately

An office, washroom and kitchen can have the same area but very different labour requirements. Washrooms contain more fixtures and hygiene-critical touchpoints. Kitchens may require degreasing and appliance detail. Open offices can offer faster floor coverage but still include waste bins and workstations.

Separate zones make assumptions visible. They also help a supervisor compare estimated time with the actual route and adjust one part of the contract without changing every room.

Productivity rate formula

The calculator begins with:

Base zone labour = area ÷ productivity rate.

A productivity rate of 300 m² per hour means that 300 m² requires one labour-hour under the conditions represented by that rate.

Example. A 180 m² office at 300 m² per hour requires 0.60 labour-hour before service, condition and floor multipliers.

Productivity is not speed alone. It includes the chosen method, equipment, walking distance, furniture density, waste handling and expected result. A narrow, cluttered room normally produces less output than an open area.

Service-level multipliers

The calculator can model maintenance, standard, deep, move-in or move-out, post-construction and enhanced-disinfection work. Each level uses an editable multiplier.

For example, if base labour is 0.60 hour and a deep-clean multiplier is 1.80:

Adjusted labour = 0.60 × 1.80 = 1.08 hours.

A multiplier should represent a documented difference in scope. Deep cleaning may include edges, buildup removal, detailed fixtures and surfaces that routine service does not cover.

Condition, traffic and floor type

Soil condition changes the number of passes, product strength, dwell time and manual effort. Heavy traffic can increase waste, marks and touchpoint work. Carpet, hard flooring and mixed finishes may need different tools and processes.

The combined zone formula is:

Zone labour = area ÷ productivity × service factor × condition factor × traffic factor × floor factor × frequency factor + fixed time + unit-based time.

Because several multipliers can compound, review the final result. Extremely high factors may indicate that the scope should become a separate specialist task instead of remaining inside routine cleaning.

Visit frequency

Frequent maintenance can reduce time per visit because soil does not build up as much. A monthly or occasional service may require more effort. The calculator therefore includes an editable frequency factor.

Do not reduce the rate only because a service is daily. Busy washrooms and food areas can remain labour-intensive despite frequent attendance. Use inspection records and measured times.

Fixed minutes and service units

Area-based productivity cannot describe every task. A small washroom may still require a fixed sequence of fixtures, dispensers and consumables. A hotel room may need bed-related work. An office may contain a known number of waste stations.

Add fixed minutes for room-specific preparation or closing tasks. Use service units for repeatable objects:

Unit-based time = number of units × minutes per unit.

Example. Twelve interior windows at four minutes each add 48 minutes, or 0.80 labour-hour.

Additional specialist tasks

Carpet extraction and machine floor care use their own area and productivity rates. High dusting and unusual detail work can be entered directly as hours.

Keep specialist tasks separate from routine floor productivity. This prevents a one-time carpet treatment from inflating every future maintenance visit.

Setup, close-down and quality allowance

Cleaning work includes more than direct surface contact. Staff may need to collect keys, prepare equipment, fill solution, move between secured areas, empty machines and complete a final check.

Pre-quality labour = zone labour + additional tasks + setup and close-down.

Quality allowance = pre-quality labour × quality percentage.

Total labour = pre-quality labour + quality allowance.

A quality allowance should not hide an unrealistic productivity target. It should cover a genuine inspection, correction and reporting process.

Team size and elapsed time

Labour-hours and clock time are different. Four labour-hours can mean one person for four hours or two people for approximately two hours.

Elapsed team time = total labour-hours ÷ team size.

To estimate staffing for a deadline:

Required staff = total labour-hours ÷ target duration, rounded up.

Example. A job needs 7.2 labour-hours and must finish within two hours. 7.2 ÷ 2 = 3.6, so at least four people are required mathematically.

Real scheduling must also consider whether several people can work safely in the same rooms, whether enough equipment is available and whether access rules limit simultaneous work.

Cleaning and disinfection are different

Routine cleaning removes dirt and many germs from surfaces. Disinfection uses a product and process intended to inactivate specific microorganisms. The CDC states that regular cleaning is enough in many everyday facility situations, while disinfection should follow the risk and setting.

Do not apply a disinfection multiplier as a substitute for a written protocol. Healthcare, food, childcare and outbreak situations may require different products, contact times, methods and records.

Chemical dilution calculation

For a dilution described as one part concentrate to x parts water:

Concentrate = prepared solution ÷ (1 + x).

Water = prepared solution − concentrate.

Example. To prepare 6.5 litres at 1:64, divide 6.5 by 65. The result is 0.10 litre of concentrate and 6.40 litres of water.

The calculator reports full containers for purchasing but prices the proportion of concentrate actually consumed. This avoids charging the full container to every recurring visit.

Chemical safety. Follow the product label and safety data sheet for dilution, surface compatibility, contact time, ventilation, storage and personal protective equipment. Never mix incompatible products. HSE guidance for cleaners treats chemical exposure as a COSHH risk that requires assessment and control.

Loaded labour cost

The hourly wage alone is not the full employer cost. Depending on the business, payroll taxes, holiday pay, insurance, pension, uniforms, training and supervision may add to the base rate.

The calculator uses:

Loaded labour cost = labour-hours × base hourly cost × (1 + payroll burden) × (1 + supervision and administration).

Enter percentages that reflect the business records. Do not use markup as a substitute for missing labour obligations.

Direct cost and customer price

Direct cost can include loaded labour, area-based materials, consumed chemical, disposables, travel, equipment rental and other fixed costs.

Customer price before tax = maximum of minimum charge and direct cost × (1 + markup).

Total quote = price before tax + applicable tax.

A minimum charge protects small visits from losing money after travel and setup. Markup must also support overhead, risk and profit, but the calculator cannot determine the correct commercial percentage for a particular company.

Recurring contract calculation

For a recurring service, the calculator multiplies the per-visit result by visits per week and the chosen average weeks per month.

Monthly visits = visits per week × average weeks per month.

Monthly quote = per-visit quote × monthly visits.

Annual totals use 52 weeks. The full-contract result uses the entered number of months. Compare these estimates with holiday closures, seasonal demand and scheduled periodic work before signing a contract.

Check legal working time and pay separately

A pricing tool does not decide employment status, minimum wage or which hours count as paid work. GOV.UK explains that eligible workers must receive at least the applicable minimum wage for relevant working hours, regardless of whether a business charges the customer by area or by task.

Include required setup, travel between assigned work locations, training and other paid time according to the law and contract that apply. Review rates whenever statutory costs change.

How to improve the estimate after launch

  1. Record actual start and finish times by zone.
  2. Separate delays caused by access from direct cleaning time.
  3. Compare quality inspection results with the estimated allowance.
  4. Update room productivity after several representative visits.
  5. Track chemical and consumable use per building.
  6. Review profitable and unprofitable tasks separately.
  7. Recalculate after layout, occupancy or scope changes.

Common mistakes

  • using one productivity rate for every room;
  • pricing only the visible floor area and ignoring fixtures;
  • forgetting setup, access and close-down time;
  • reducing labour because more people are assigned without checking congestion;
  • charging a full chemical container on every visit;
  • confusing cleaning with disinfection;
  • using a label dilution but ignoring contact time;
  • leaving payroll burden or supervision out of labour cost;
  • using markup to cover unknown direct expenses;
  • treating a calculator estimate as a fixed site survey.

How do I calculate cleaning labour-hours?

Divide each zone’s net area by its verified productivity rate, apply relevant factors and add fixed or item-based task time.

Does doubling the team halve the labour cost?

No. It can reduce elapsed time, but total labour-hours remain similar unless teamwork changes productivity.

Should every recurring visit use the same hours?
